Planning Center Integration
How to connect Planning Center to your voice agent so callers can access live event, service time, and staff directory data
Available on the Voice Pro plan.
Connect your Planning Center account to let your voice agent access real-time information about your church's upcoming events and service times. When callers ask about what is happening at your church, the agent can give them accurate, up-to-date answers pulled directly from Planning Center.
What the Integration Does
Once connected, your voice agent can:
- Look up upcoming events — Tell callers about upcoming services, special events, and community activities from your Planning Center Calendar app (dates, times, and locations)
- Share service times — Pull live service schedules from Planning Center Services app so callers always get the latest worship service times
- Look up staff contacts — Access your staff directory from the Planning Center People app so callers can be directed to the right person by name, email, or phone number
The agent reads Calendar events, Services data, and staff directory information from Planning Center. It does not access financial data, giving records, general congregation member information, groups, check-in data, or any other sensitive records. It does not create, modify, or delete anything in your Planning Center account.
How to Connect
- Open your admin dashboard and go to the Settings tab
- Find the Integrations section
- Click Connect Planning Center
- You will be redirected to Planning Center to authorize access
- Log in to your Planning Center account and click Allow
- You will be redirected back to your dashboard with the connection confirmed
The entire process takes less than a minute.
What Callers Can Ask
Once connected, callers can ask questions like:
- "Do you have any events this week?"
- "What time is the Sunday service?"
- "When is the next men's breakfast?"
- "What is happening at the church this Saturday?"
- "How can I reach the worship leader?"
- "What is the pastor's email?"
The agent draws from your Planning Center Calendar, Services, and People data to give accurate, specific answers with real dates, times, locations, and staff contact details.
Keeping Data in Sync
Your voice agent pulls data from Planning Center in real time. When you update events or service schedules in Planning Center, the voice agent automatically has access to the latest information on the next call (data is cached for up to one hour for fast performance). There is nothing extra you need to do.
Troubleshooting
The agent is not showing updated events
Planning Center data is accessed in real time, so updates should appear immediately. If the agent seems out of date, try disconnecting and reconnecting the integration in your Settings tab.
Authorization expired
Planning Center access tokens can expire over time. If the integration stops working:
- Go to Settings in your dashboard
- Click Reconnect Planning Center
- Authorize access again through Planning Center
This refreshes the connection and restores access.
The agent gives incorrect information
If the agent shares wrong details about an event or service time, the issue is likely in the Planning Center data itself. Double-check the relevant event or service in your Planning Center account to make sure it is accurate.
Privacy and Security
Your Planning Center connection is secured with an access token stored in your voice agent configuration. The voice agent reads Calendar event data, Services schedule data, and staff directory information needed to answer caller questions. It never accesses:
- Financial or giving data
- General congregation member records (only staff/team members are accessed)
- Donation history or pledges
- Groups or small group rosters
- Check-in or attendance data
Data is cached briefly (one hour for events and service times, four hours for the staff directory) to keep calls responsive, and the cache refreshes automatically so callers always get current information.
