Congregation Care
How to use the Congregation Care feature to stay connected with your church members through broadcasts and opt-in messaging
The Care tab in your ChurchWiseAI admin dashboard helps your church stay connected with members through opt-in messaging. Members sign up with their name, email, or phone number, and you can send them broadcasts — announcements, prayer chains, daily verses, and encouragement — right from your dashboard.
Who Can Access the Care Tab
The Care tab is visible to the following roles:
- Admin — Full access, can enable/disable Care, send broadcasts, and manage members
- Office Admin — Can view members and send broadcasts
- Care Team — Can view members and send broadcasts
Other roles (Prayer Team, Treasurer, Volunteer Coordinator, Worship Leader) do not see the Care tab.
Enabling Congregation Care
Congregation Care is off by default. To turn it on:
- Go to your admin dashboard at churchwiseai.com/admin/[your-token]
- Click the Care tab
- Click "Enable Congregation Care"
Once enabled, you will see the full Care interface with a broadcast composer, member list, and a shareable sign-up link.
Only the Admin role can enable or disable Congregation Care.
The Sign-Up Link
When Care is enabled, your dashboard displays a shareable link where congregation members can opt in. The link points to a sign-up page where people provide:
- Their name
- Email address and/or phone number
- Which topics they want to receive (Announcements, Prayer Chain, Daily Verse, Encouragement)
No account is needed — just a name and a way to reach them. Share this link in your bulletin, on your website, or from the pulpit.
You can copy the link directly from the Care tab using the Copy button.
Sending a Broadcast
From the Care tab, you can compose and send a message to all opted-in members (or those subscribed to a specific topic):
- Choose a topic — Select from Announcements, Prayer Chain, Daily Verse, or Encouragement
- Add a subject line (optional) — Used for the email version of the message
- Write your message — The body of your broadcast
- Click "Send Broadcast"
After sending, you will see a confirmation showing how many emails were delivered.
SMS delivery is not yet available for broadcasts. We are awaiting 10DLC carrier approval to enable text-based messaging. For now, broadcasts are delivered by email. Members who signed up with only a phone number will receive their messages once SMS is enabled.
Managing Members
The Care tab shows a paginated list of all members who have signed up, including:
- Name
- Contact info (email and/or phone)
- Subscribed topics (shown as tags)
- Date joined
You can remove a member from the list if needed by clicking the remove button next to their entry.
Privacy Considerations
Congregation Care involves personal contact information. Keep these guidelines in mind:
- Opt-in only — Members choose to sign up. Never add someone without their consent.
- Respect opt-outs — If someone asks to be removed, remove them promptly from the member list.
- Be thoughtful with frequency — Sending too many messages can lead to people unsubscribing. A weekly cadence works well for most churches.
- Secure your dashboard — Make sure team members do not share their access links. Each person should use their own role-based link.
Making It Personal
The broadcast tool handles the delivery. The personal touch is up to you. Some ideas:
- A Monday morning encouragement to start the week
- A midweek prayer chain update highlighting needs from Sunday
- An announcement about upcoming events or service changes
- A daily verse during Advent or Lent
Congregation Care is not about replacing personal ministry — it is about making sure your church family feels seen and connected throughout the week.
